Privacy Policy for Warm Trail

Renard K Priester ("we," "us," or "our") makes Warm Trail, the pet care app for iPhone and Apple Watch, including its widgets, and the website at https://www.warmtrail.live. This policy explains what information the app uses, where it goes and the choices you have.
The short version
- Your pets' records live on your iPhone. We don't run a server that stores them.
- A few features send information to a trusted service only at the moment you use them: sign-in, AI features, barcode lookup, subscriptions and crash reports. Each one is explained below.
- We don't sell your data, show ads or track you across other apps and websites.
1. Information stored on your device
Pet profiles, photos, meals, walks and routes, weights, medications and doses, reminders, vault documents, vet visit recordings and transcripts, Caregiver Keys, chats and scan history are stored inside the app on your iPhone. The app shares copies with your Apple Watch and your Home Screen and Lock Screen widgets so they stay up to date. We can't see any of this information.
Warm Trail doesn't sync to iCloud. If you make a backup in More › Backup & export, the file is saved wherever you choose, such as Files or iCloud Drive, and Apple handles it under its own terms.
2. Your account
You sign in with Apple or Google. Our sign-in provider, Rork, receives your name, email address, a unique account ID and, from Google, your profile photo if you have one. If you use Apple's Hide My Email, we receive a private relay address instead of your real email. We use this only to sign you in and to link your Premium subscription to your account. Sign-in tokens are stored in your iPhone's secure Keychain.
3. AI features
Pet chat, Lens scans (food, health checks and animal identification), "Is this safe?" and vet visit summaries use artificial intelligence. Only when you use one of these features, the app sends the information below over an encrypted connection to our AI provider, Rork. Rork passes it through Vercel's AI Gateway to Google's Gemini model to produce your answer.
- Pet chat: your message, your recent messages with that pet and a short fact sheet about the pet: species, weight, today's meals, medications and recent notes.
- Lens scans: the photo you take and, for health checks, the pet's species, weight and health notes.
- Is this safe?: the item you type or photograph, plus each pet's species, weight and health notes.
- Vet visit summaries: the text transcript only. Audio recordings are never sent to our AI provider.
We never include your name, email or account ID in AI requests, and nothing is sent in the background. We don't use your content to train AI models. Our AI providers process it only to return your result, under business terms that don't allow them to use it for training.
AI results are general guidance and are not a substitute for your vet.
You can turn off all AI features at any time in More › AI & privacy, where you can also clear chat and scan history.
4. Vet visit recordings
The Vet Visit Recorder uses your microphone only for appointments you choose to record. Recordings are stored only on your iPhone. To create a transcript, the app uses Apple's speech recognition. On iPhones that support it, this happens on the device; otherwise, Apple processes the audio under its own privacy policy. Please ask your vet before recording.
5. Location, motion and health
- Walks: your location is used to map routes and measure distance. Tracking runs only during a walk you start, including while your screen is locked (iOS shows a location indicator), and stops when you end the walk. Routes are saved only on your device.
- Emergency vets: when you open the emergency vet finder, your location is used to search for nearby vets through Apple Maps.
- Steps: during walks, the app reads your iPhone's step count to estimate your dog's steps. This stays on your device.
- Apple Watch and Apple Health: walks started on Apple Watch read your walking distance and heart rate and, with your permission, save the walk to Apple Health as a workout. Health data is never sent to us or any third party, never used for advertising and never sold.
6. Camera and photos
Camera and photo library access are used to add pet photos, scan food labels and barcodes, save vault documents and run Lens scans. Photos stay on your device unless you run an AI scan (section 3) or share them yourself.
7. Barcode lookup
When you scan a pet food barcode, only the barcode number is sent to Open Pet Food Facts, a free public product database, to look up the product.
8. Face ID
Apple handles Face ID and Touch ID entirely on your device. We never receive biometric data.
9. Subscriptions
Warm Trail Premium is purchased through Apple, which handles payment. We never see your card details. We use RevenueCat to confirm your subscription. RevenueCat receives your purchase history from Apple, your Warm Trail account ID (so Premium follows you to a new iPhone) and basic app and device details such as app version, iOS version and region.
10. Crash reports
To find and fix bugs, the app uses Sentry to send crash reports, error details and a small sample of performance data. Reports contain technical details such as device model, iOS version, app version and where the problem happened in the app's code. They are set up to exclude your name, email, account ID, screenshots and pet records. You can turn this off in More › AI & privacy › Share crash reports. Reports are kept for up to 90 days.
11. Notifications
Reminders and medication alerts are scheduled on your iPhone. We don't use a push notification server.
12. Sharing you choose
Health PDFs, lost-pet posters, emergency cards, Caregiver Keys, milestone graphics and spreadsheets go only to the people and apps you pick in the share sheet.
13. What we don't do
- We don't sell or rent your personal information.
- We don't show ads or use advertising networks or data brokers.
- We don't track you across other companies' apps or websites.
We share information only with the providers named in this policy (Rork, Vercel, Google, RevenueCat, Sentry, Open Pet Food Facts and Apple), only to run the features described, or when the law requires it.
14. Keeping and deleting your information
- Information on your device stays until you delete it. You can delete individual records or walks, remove a pet, or erase everything in More › Account.
- Delete account (More › Account › Delete account) permanently deletes your subscription record from our servers, then erases everything Warm Trail stores on your iPhone and signs you out. Your sign-in provider may keep a basic record of your name and email; email us and we'll ask them to remove it within 30 days.
- Deleting your account doesn't cancel an Apple subscription. Manage it in iPhone Settings › your name › Subscriptions.
- Apple and RevenueCat may keep purchase records where the law requires it.
- Backups you saved to Files or iCloud Drive stay under your control until you delete them.
15. Your rights
Depending on where you live (for example the EU, UK or California), you may have the right to access, correct, delete or export your personal information, or to object to how it's used. Most of your information is on your device and under your control. For anything our providers hold, email us and we'll respond within 30 days. We don't sell or share personal information for targeted advertising.
16. Children
Warm Trail isn't directed at children under 13, and we don't knowingly collect their personal information. If you believe a child has given us information, contact us and we'll delete it.
17. Security
Information is sent over encrypted connections, sign-in tokens are kept in the iOS Keychain, and you can lock the app or the Vault with Face ID. No method is completely secure, but we work hard to protect your information.
18. Changes to this policy
If we update this policy, we'll change the effective date above and, for significant changes, let you know in the app.
